Organisation profile

Brain injuries can happen to anyone.  And, like any other injury, it is critical to help get sufferers back on their feet again as quickly and effectively as possible.  That’s what Stewart Rehabilitation do.  As a charity, every dollar counts, and its crucial to direct funding to front line services where they can help the most people.  Roughly 170 client ‘patients’ visit Stewart for assistance each week, at any of the 4 branches across the upper North Island.  Studies show the benefits of the Stewart services indirectly benefit 5 times their direct client base, representing a total of 1,000 people being helped each and every week.

"we were drowning in admin"

"unexpected benefits"

"whole system works much more efficiently"

"very little, if any, upfront capital costs"

"partnership approach"

Our original goal was to consolidate Stewart Rehabilitation from acting as five autonomous offices into a single cohesive organisation.  Success has meant that duplication of effort has been removed, one example was where 4 occupational therapists were writing similar programs, there is now just one that was built collaboratively.  This streamlining results in equity of service delivery across all the branches, and at the highest standards.  Using SharePoint and Exchange Online through Microsoft BPOS, Kinetics has introduced effective collaboration tools to Stewart and helped them to adopt the new capabilities.

·         One immediate benefit was that the organisation had been about to employ an administrator into each branch to help manage the work flow.  With the SharePoint solution, that was no longer needed, resulting in an immediate $150K p.a. saving.  Another benefit has been the visibility of attendance data.  Now Stewart Rehab know what’s happening in real time and can respond accordingly.  For example, as client attendances declined over winter, Stewart were able to identify it and put in a simple reminder mechanism to address the concern resulting in better client therapy outcomes and revenue retention in excess of $200K.  Even better, the use of Microsoft’s cloud platform meant that it’s been without capital cost, allowing precious funds to be redirected towards upgrading client computers, a key tool in their rehabilitation programme.

·         Kinetics worked in partnership through the project, with regular meeting.  Particularly with the SharePoint aspects of the BPOS deployment, we sought to empower the client to build their own intranet.  In doing this we uncovered the legacy attendance and billing database which was recreated in SharePoint and has resulted in the significant benefits noted above - over $350K so far in under 12 months!.  As well as regular workshops, internal staff satisfaction was measured using a survey on SharePoint itself, with a 90% response rate and an overwhelmingly positive response, especially to the intranet and communications tools.  However the ultimate measure is that Stewart have actively advocated this solution to other charities and are even now showing it off to another BOP based healthcare charity on our behalf.  Their advocacy for us is the ultimate accolade
